Essential Reading - Santa Clara

Important People

  • Your Event Manager

    Your Event Manager is your key contact at the Center. He/She is your Customer Service Representative and functions as an important "right hand person" from beginning to end of your event. He or she will help you understand our rules and how they might affect your event. He/She will gather all the information about your event, assemble it and communicate it to the rest of the staff.

    Please feel free to ask any question. Your Event Manager will be your most valuable resource. If he/she doesn't know the answer, they will know where to get it!

  • Your Catering Sales Manager

    Our Catering Department (hosted by ARAMARK) provides quality catering and concession services on an exclusive basis in the Center. He/She is responsible for coordinating all of your requirements for banquets, coffee and refreshment services, concessions, booth catering, food and beverage sampling and promotions.

  • Audio/Visual sales Manager

    AV services in the Center are provided by Projection Presentation Technologies on a non-exclusive basis; however, all connections to house wiring MUST be by them.

  • Telecommunications including Internet

    These services are provided by Smart City Networks. Telephone service is exclusive. Internet service is non-exclusive; however, all connections to house wiring MUST be by Smart City Networks or the Center.

Important Dates/Milestones

  • 12 Months Before Your Event (or, upon receipt)
       Sign and Return Contract (Use Agreement)
       Pay Deposit on License Fee
  • Before Selling Exhibit Space
       Obtain approval of floor plan including Registration Setups in Lobbies
  • 30 Days Before Your Event
       Make Final Payment of License Fee
       Pay advance Deposit for Catering requirements
       Provide detailed Event Requirements to Event Manager
       Provide Certificate of Insurance
       (See Use Agreement for required Additional lnsured's)

Advance Shipment & Storage

  • The Center cannot and will not accept freight for an event.
  • Limited quantities of critical meeting and similar materials may be accepted in advance IF you make arrangements with your Event Manager.

Parking & Traffic Control

  • 2,000 on-site parking spaces are shared with the hotel and Techmart
  • Additional space is available at Paramount's Great America Accurate attendance estimates are important.
  • Marshalling Yard available behind the Center:
    Truck traffic to and from docks and vehicular traffic generated by exhibitor move-in/out must be controlled to avoid obstruction of roadways.
